Money raised will be used to support the work of Loaves and Fishes Christians Caring, including the purchase of food to supplement donations given from churches and the community.
RECURRING DONATION TERMS AND CONDITIONS
The Recurring Donation is contracted with SupporterHub (and the banking partner Fat Zebra Pty Ltd ACN 154 014 785, APCA User ID Number 50257) and will collect the Instalments due. Outlined are your obligations when undertaking a Recurring Donation arrangement and what our obligations are to you as your Recurring Donation provider.
Debiting your account
- By accepting the terms and conditions, you have authorised us to arrange for funds to be debited from your account.
- We will only arrange for funds to be debited from your account as authorised in the Recurring Donation Request.
- If the debit day falls on a day that is not a banking day, we may direct your financial institution to debit your account on the following banking day. If you are unsure about which day your account has or will be debited you should ask your financial institution.
Amendments by us
We may vary any details of this agreement or a Recurring Donation Request at any time by giving you at least fourteen (14) days written notice.
Your obligations
- It is your responsibility to ensure that there are sufficient clear funds available in your account to allow a Recurring Donation payment to be made in accordance with the Recurring Donation Request.
- If there are insufficient clear funds in your account to meet a debit payment:
- you may be charged a fee and/or interest by your financial institution;
- you may also incur fees or charges imposed or incurred by us; and
- you must arrange for the debit payment to be made by another method or arrange for sufficient clear funds to be in your account by an agreed time so that we can process the debit payment.
- You should check your account statement to verify that the amounts debited from your account are correct
Dispute
- If you believe that there has been an error in debiting your account, you should notify us directly or as soon as possible so that we can resolve your query quickly. Alternatively you can take it up directly with your financial institution.
- If we conclude as a result of our investigations that your account has been incorrectly debited we will respond to your query by arranging for your financial institution to adjust your account (including interest and charges) accordingly. We will also notify you in writing of the amount by which your account has been adjusted.
- If we conclude as a result of our investigations that your account has not been incorrectly debited we will respond to your query by providing you with reasons and any evidence for this finding in writing.
Accounts
You should check:
- Your account details which you have provided to us are correct by checking them against a recent account statement; and
- With your financial institution before completing the Recurring Donation Request if you have any queries about how to complete the Recurring Donation Request.
Confidentiality
- We will keep all information (including your account details) in your Recurring Donation confidential. We will make reasonable efforts to keep any such information that we have about you secure and to ensure that any of our employees or agents who have access to information about you do not make any unauthorised use, modification, reproduction or disclosure of that information.
- We will only disclose information that we have about you:
- to the extent specifically required by law; or
- for the purposes of this agreement, including disclosing information in connection with any query or claim.

Project-site storage: Records are kept in locked cabinets and returned to the primary
office or destroyed (if no longer needed) at the end of the project session after a seven
year period.
• Destruction: Information is securely destroyed (shredded or digitally wiped) once the
legal retention period expires.

Personal information is kept confidential. It is only shared outside of WCC if:
• Referral: You provide written consent for us to advocate on your behalf to another
agency.
• Mandatory Reporting: We have a legal or ethical obligation to report concerns

6. Data Breach Protocol

Wesleyan Community Care will consider refund requests under the following specific

• An error made by Wesleyan Community Care or our third-party payment processor.
• A duplicate transaction or a significant data entry error by the donor (e.g., an
accidental extra digit).
• Proven unauthorised or fraudulent use of a credit or debit card.
2. Timeframe & Methods
• Request Window: Refund requests must be submitted in writing within 30 days of
the donation date. Requests made after this period are generally ineligible, as funds
may have already been allocated to active community programs.
• Original Method: Refunds will be issued only to the original credit card or bank
account used for the gift.
• Processing Time: Please allow 7–10 business days for the refund to reflect on your
statement once approved.

time.
• Cancellation: To prevent a scheduled charge, cancellation requests must be made at
least three business days prior to the next scheduled donation date.

eligible for a refund unless they meet the criteria in Section 1.

Wesleyan Community Care incurs non-refundable processing fees from third-party vendors
(e.g., Stripe, PayPal, or banks) for every transaction.
• Fee Deduction: Unless a refund is necessitated by a clerical error on our part, refunds
may be issued minus the original transaction fees charged by the payment processor.
5. Ineligibility & "Quid Pro Quo" Gifts
Refunds cannot be granted for contributions where the donor received a benefit in exchange
for the gift. This includes, but is not limited to:
• Tickets to galas, dinners, or community events.
• Purchase of silent auction items or merchandise.
• Registration fees for workshops or programs.
6. Tax Receipts & Compliance
If a tax-deductible receipt was issued for the original donation, that receipt becomes null and
void upon the issuance of a refund. It is the donor’s responsibility to ensure they do not claim
a tax deduction for any refunded amount. Wesleyan Community Care reserves the right to
notify the relevant tax authorities of the reversal if necessary.
7. Dispute Resolution
We kindly ask that donors contact our administrative office directly to resolve any
discrepancies. Filing a charge back with your bank results in additional penalty fees for our
organisation; contacting us first ensures that more of our resources stay within the
community.
